Thank you for requesting to use the CFPA Meeting Room. Please note that until contact is made with the Office Manager, this agreement is completed, and payment is received, your request to use the Meeting Room for your organization is not set and finalized. The Meeting Room is open for organizations to use on Mondays, Tuesdays, Thursdays, Fridays, Saturdays, and Sundays. Meetings can only be booked up to 6 months in advance. The room is available to be booked in the upcoming year after the CFPA Board of Directors holds their September meeting and approves the CFPA upcoming year schedule. The CFPA Meeting Room opens to outside organizations beginning October 2021.

Meeting Information

Briefly describe a snapshot of what your meeting or meeting schedule will look like. Ex: every third Thursday for 2 hours, every 2 months, etc.
Agreement to Use CFPA’s Meeting Room
The mission of CFPA’s Meeting Room is to bring together members of the conservation community and help support your good work. However, there have been several occasions over the past few years where CFPA has inherited significant costs and frustration associated with extra cleaning(s) after some public or organizational meetings. We are asking all Meeting Room users to review and acknowledge the following guidelines before scheduling a time to use it:
Organization/Group Criteria
*
CFPA will only grant access to the Meeting Room to qualified users. Qualified users are those unincorporated groups or organizations that: Have an organization/group mission related to conservation; Update contact information for responsible individual(s) for your group; Join/Re-Join CFPA at the organizational level of support or greater; and Agree to abide by this Community Room Agreement.
I acknowledge that I am qualified to use the Meeting Room based upon the four criteria listed above.
Right to Bump
*
CFPA always reserves the right to bump your event in the event of a building emergency, health emergency, or unforeseen unavoidable conflict. If CFPA needs to bump your event, we will make every effort to do so with at least a 2 week advanced notice, and will work with you to help identify alternate locations, if necessary. We expect that this would happen very infrequently if at all, but want to give fair warning in this agreement.
I acknowledge that CFPA may have to bump my event in the event of an emergency or unforeseen conflict.
Food, Utensils & Waste
*
To reduce waste and support “Leave No Trace,” CFPA requests that any refreshments be served on re-usable/washable or compostable plates, bowls, or cups. No matter what you use for your refreshments, make sure you clean-up after yourselves and leave no “stuff” behind. If you create significant waste and/or the large garbage can in the kitchen is full, please take your waste with you (there are typically trash bags under the sink in the kitchenette that you can use if needed). We do not want leftover food, drinks, or anything you brought to remain in the refrigerator when you leave. If you use something, wash it, dry it and put it away.
I acknowledge that if I leave plates, utensils, or food waste behind, my group or organization may be charged a discretionary use fee of $25 or more per occurrence to cover our additional cleaning costs.
Wall Space
*
Do not attach or otherwise secure, temporarily or permanently, any posters, decorations, banners, streamers, balloons, tape adhesives, or any other material, to the walls, windows, ceilings, floors, tables, chairs, or any other property of the CFPA.
I acknowledge that I will not attach any materials to the walls, windows, or other surfaces in the Meeting Room.
Room Cleaning
*
Our building gets cleaned once per week, typically on Sunday mornings. Please keep in mind that there may be several groups using the meeting room before and after you. CFPA requests that surfaces be wiped down after use.
I acknowledge I should return the Room to the condition as shown in the "room layout diagram" provided, and if cleanup is necessary after my group or organization’s event(s), CFPA reserves the right to assess a discretionary cleaning fee of $80 or more per occurrence to cover CFPA’s additional cleaning costs.
Conserve Electricity
*
Turn off all lights including the restrooms (even those that are supposed to go off automatically) and lock the door behind you after each meeting. Turn the heat down if you have turned it up.
I acknowledge that my group or organization is responsible for turning off lights and ensuring the door to the Meeting Room is locked when I leave the site.
Conserve Water
*
Please check before you leave to make sure no faucets or toilets are left running. We are on a private well, and our well has run dry several times because of toilet, faucet, or other leaks after or during events.
I acknowledge that my group or organization is responsible for checking to ensure no faucets or toilets are left running.
Capacity Limit
*
Currently, CFPA has inadequate parking space to accommodate groups larger than 30, especially during business hours or periods of high trail usage. So, Meeting Room events should be limited to no more than 30 individuals.
I acknowledge that I will cap attendance at my events at 30 individuals.
Timely Response
*
If there is a concern expressed about your use of the Meeting Room and/or a discretionary fee charged to your group/organization for any reason, we expect you to respond, pay the fee and/or make plans to pay the fee within one week (7 days) of being notified by CFPA of the concern.
I acknowledge that if my group or organization does not respond, pay any discretionary use fee, or make plans to pay any fee within 7 days of being notified by CFPA, my future use of the room may be suspended or terminated.
Liability
*
I take responsibility for my group or organization’s use or misuse of the space, and shall not hold CFPA liable for our actions.
My group or organization shall indemnify and hold harmless the CFPA, its successors, and/or assigns, for any loss, injury, claims and/or demands that the CFPA, its successors, and/or assigns may suffer as a result of Applicant’s use or misuse of the Room or CFPA property.
